This Privacy Policy is intended to help you better understand how we (Oaks Online Shopping Co Ltd) collect, use and store your information – whether you are a Consumer (end-user) or a Company /Organisation – when using our website, services or products.

What information do we collect?

As part of the buying and selling process, we collect the personal data that you provide to us when placing orders via our website or sales lines/email or when you register to hold an account with us. This includes;

  • Your full name and contact details, including home address, billing address, email address, telephone and mobile number(s).
  • Date of birth to make sure that you are of legal age to purchase age-restricted items – such as carving tools and fire lighting equipment. We may provide your details to credit reference agencies to validate the information provided and fraud protection organisation to prevent fraud and verify your details – these checks do NOT impact your credit rating score. You may provide ID instead should you wish (redact all details other thn name and date of birth).
  • If you are purchasing on behalf of a company then business details including company name, shipping and billing address, telephone and mobile numbers and email address are collected.
  • When you browse our websites, we will automatically receive your computer’s internet protocol (IP) address in order to provide with a better user experience.
  • If placing orders via our telephone service, we may record calls for training purposes - this data is stored for a maximum of 7 days. 

We use this information detailed here to manage your customer account, process your order(s), authentication, processing of payments, review invitations, stock notifications and marketing (unless you have opted out).

How long do we keep it for?

This will vary depending on the purpose for which your personal details were collected – i.e. – we may need to contact you urgently should there be a product recall due to safety concerns. However, we will not keep your details longer than necessary and they will be disposed of safely when no longer required. Any call recordings are stored for a maximum of 7 days. 

Who do we share it with?

We will only share your information when there is a genuine need to do so whilst processing order/supplying goods or resolving any technical difficulties.

Our select partners will only use and disclose your information to the level necessary to allow them to perform the services they provide to us.

  • Our technical team when offering you with support or internal IT issues.
  • Our Mail Order Software – to enable us to manage the process and dispatch your orders and manage your customer account.
  • Couriers to enable safe and secure delivery of your goods.
  • E-commerce platform provider - essentially our websites and the software used to build/run them.
  • Numerous credit reference agencies, electoral role services to comply with our legal and moral obligations regarding the sale of age-restricted and bladed items. Unless you choose to supply your ID (please redact ALL details other than name and date of birth).


Whilst we take reasonable steps to ensure personal data remains safe via email, we cannot guarantee the confidentiality of any email messages transmitted between you and us as these types of communication are (although unlikely) potentially accessible by third-parties and therefore we will not be liable to you or anyone else for any loss relating to any email message sent by you to us or by us to you.


We value the trust that you place in us when sharing personal information and we adhere to the highest standards of internet security to keep your details safe at all times.

Any pages on our websites where personal details are supplied will be protected securely with industry standard security measures. Any page where personal information is entered, such as your credit/debit card number, name, and address, is fully encrypted so that it cannot be read as the information travels over the Internet. We do not hold your credit/debit card details on our website or in our own records.

On receipt of a Subject Access Request, we may require additional documentation proving evidence that the details held relate to you. Once your identity has been confirmed we will aim to respond with the information requested within 30 business days.
